Photo Booth Contract: What to Watch For? (Checklist)

You want to rent a photo booth for your event but are unsure what to look for in the contract? This guide covers everything important: From rental duration to included services to hidden costs. With our checklist, you can systematically compare quotes and avoid unpleasant surprises.

1. Rental Duration and Setup/Teardown Times

The rental duration seems straightforward at first glance: "4 hours photo booth". But beware – there are often pitfalls here!

What to Check Exactly:

  • Pure usage time or including setup/teardown? Some providers count setup time as rental duration – meaning "4 hours" only leaves 3.5 hours of actual usage.
  • When does the clock start? Upon service provider arrival, after setup, or at a fixed agreed time?
  • Extension options: What does an additional hour cost? Is spontaneous extension possible?
  • Setup/teardown times: How much time does the provider plan for this? (Realistic: 15-30 min setup, 10-15 min teardown)

Practical Example

Scenario: Your wedding starts at 6:00 PM, you book "4 hours photo booth".

  • Provider A (non-transparent): "4 hours from arrival" → Setup 5:30-6:00 PM → Booth only runs until 9:30 PM
  • Provider B (transparent): "4 hours usage" → Setup 5:30-6:00 PM → Booth runs until 10:00 PM

2. Included Services (Prints, Props, etc.)

A photo booth package sounds appealing, but what's really included? This is often where the biggest cost traps hide.

Checklist: What Should Be Included?

  • Prints: Unlimited or limited? (With 100 guests, you can quickly accumulate 200-400 prints!)
  • Print format: 10×15 cm standard or larger formats?
  • Props: Are props included? How many? What quality?
  • Background: White, greenscreen, or custom backdrop?
  • Online gallery: Free or surcharge? How long available?
  • Delivery & setup: Included in price or extra?
  • On-site attendant: Does the booth run alone or is staff present?
  • Custom design: Personalized prints with your name/logo?

Hidden Surcharges You Should Know

Watch out for these phrases:

  • "50 prints included, each additional €0.80" → With 300 prints = €200 surcharge!
  • "Props available for surcharge" → Can quickly cost €50-100 extra
  • "Delivery according to effort" → Unclear costs, unpleasant surprise
  • "Attendant optionally bookable" → Does the booth even run stably without one?

3. Technical Support: Response Time

Imagine: The photo booth breaks down in the middle of your wedding. Panic! How quickly can the provider help?

Questions You Should Ask:

  • Is there an emergency hotline? Available during the event?
  • What's the response time? 30 minutes? 2 hours? Next day? (Spoiler: "Next day" is useless)
  • Is a technician on-site available? Or only remote support?
  • Is there backup equipment? In case the hardware completely fails?
  • Will a technician be sent to the event? Useful for larger events!

Best Practice: Providers with "self-service booths" (without attendant) should at least guarantee a 24/7 hotline and max. 30 min response time.

  • More than 8 weeks in advance: Often free cancellation or low fee (e.g. 10%)
  • 4-8 weeks in advance: 25-50% cancellation fee
  • 2-4 weeks in advance: 50-75% cancellation fee
  • Less than 2 weeks: 100% cancellation fee (full price due)

What You Absolutely Need to Clarify:

  • Free rescheduling possible? Some providers allow changing the date instead of canceling
  • Force majeure clause: What happens with illness, natural disasters, government bans? (Keyword: Corona experience!)
  • Deposit: Is the deposit retained upon cancellation? How much?
  • Written form: Must cancellation be in writing? Is email sufficient?

Important Tip:

For larger events, event cancellation insurance is worthwhile (from approx. €50-100). This covers cancellation costs for unforeseen events.

5. Insurance and Liability

What happens if a guest trips and damages the photo booth? Or the booth itself causes damage?

Important Insurance Questions

  • Provider's liability insurance: Is the photo booth insured against damage by the provider? (e.g. scratches on parquet floor from transport)
  • Equipment insurance: What happens if guests damage the booth? Who is liable?
  • Deductible: Is there a deductible for you as the renter?
  • Maximum liability amount: Up to what damage amount does the insurance cover?

Typical Scenarios

Scenario 1: A drunk guest accidentally throws a glass against the photo booth.

Well insured: Provider bears costs, you pay nothing extra.
Poorly insured: You're liable up to €500 deductible.

Scenario 2: The photo booth tips over and damages venue furniture.

Well insured: Provider's liability pays.
Poorly insured: You must settle through your private liability.

6. Data Privacy: What Happens to Photos?

Data privacy is a sensitive topic in Germany (GDPR!). What happens to the photos after the event?

Critical Data Privacy Questions

  • Photo storage: Where are images stored? Germany or outside EU?
  • Storage duration: How long does the provider keep photos? (Online gallery: 30 days? Forever?)
  • Provider usage: Can the provider use your event photos for advertising?
  • Deletion: Can you request deletion of all photos after the event?
  • Access: Who has access to the online gallery? Only you or public?
  • Guest control: Can guests have their own images deleted?

Red Flag:

"Photos remain the property of the provider and may be used for marketing purposes."
This is not GDPR compliant! You should own the photos.

  • You own all photos
  • Storage in Germany/EU (GDPR compliant)
  • Automatic deletion after agreed period (e.g. 30 days)
  • No commercial use by provider without your consent
  • Password protection for online gallery
